The Opportunity

Main Responsibilities: 

  • General administrative duties for a range of internal departments
  • Assisting the TOP team with the raising of Purchase Orders
  • Internal liaison with our sales, QA, logistics, production, planning and finance departments to collate requisite job information.
  • Assisting the TOP team with the processing of Purchase Invoices
  • Stock Control and Replenishment of Office Stationary Supplies and Production Staff uniforms.
  • To establish a working relationship with designated suppliers and business contacts
  • Communicating and co-ordinating with suppliers via email/in writing and phone in a clear, concise and professional manner. The role may include internal and off-site supplier meetings.
  • Working closely with the Planning Manager on the production of the Planning Schedule, including liaising with various internal and external parties
  • Job/Costing data analysis and problem identification
  • Working with the operations management team on the implementation of new and ongoing projects and procedures
  • Actively participating in and contributing towards continuous individual development and team targets
  • Any other duties as instructed by the Estimating and Procurement Manager, Senior Management or company Directors

  • Experience of working with Information Management Systems and associated IT hardware advantageous

  • Good standard of Mathematical knowledge
  • Strong interpersonal and organisational skills
  • Fully conversant with Microsoft Office
  • Able to show a high degree of initiative and flexibility
  • Organised, methodical and logical approach to work
  • Actively participating in and contributing towards continuous personal and team development and targets.
  • Willingness to learn negotiation techniques and practices for day-to-day supplier interaction

Benefits for the Operations Administrative Assistant include:

  • Monday–Friday, 37.5hrs per week. Some flexibility regarding start/finish times, minimum 7.5hrs per day excluding lunch time. Additional hours/travelling as required.
